Education & ed-tech

WhatsApp Business for education: the admissions desk, the fee office and the class teacher, in one thread.

Schools, colleges, coaching institutes and ed-tech platforms use UDO's WhatsApp Business API, SMS, RCS and voice to answer admissions enquiries, send fee reminders to parents, alert students and parents to class and exam changes, and share results. Messages come from your institution's own registered sender instead of a teacher's personal number.

The academic year

Which messages should a school send on WhatsApp, SMS or RCS?

Send fee reminders, admit cards and enquiry replies on WhatsApp, timetable changes and closure notices by transactional SMS so they reach every phone, and admissions offers on RCS or WhatsApp to families who opted in. Treat the table as a starting plan and adjust it to your families.

Admissions and parents

How do schools use WhatsApp Business for admissions and parents?

Schools use WhatsApp Business to answer admissions enquiries while the family is still comparing, then to keep each enrolled family informed with fee reminders, absence alerts and meeting slots in a private one-to-one thread. Admissions is a race against other institutions. Everything after it depends on trust.

Admissions enquiries answered while they are warm

A parent who fills in a form on a Sunday evening is comparing you with two other schools. A WhatsApp reply in that moment, with the prospectus attached, three qualifying questions as buttons and a counsellor assigned, keeps you in the comparison.

  • A WhatsApp opt-in tick on the enquiry form, so the first reply can go out at once
  • Website and campaign enquiries land in one shared inbox
  • A no-code chatbot qualifies by class, programme and campus
  • Counsellors pick up with the full thread in view
  • Course carousels with an Enrol button for Android enquirers, through RCS for ed-tech

Parent communication that does not live in a group chat

A class WhatsApp group shows every parent's number to every other parent and buries the notice that mattered under forty replies. One-to-one messages from the institution keep each family's thread private and each notice easy to find.

  • Fee reminders with a payment link, and a receipt when it clears
  • Absence alerts sent when the register is marked
  • Parent-teacher meeting slots confirmed with one tap
  • Recorded voice notices in the family's language for parents who prefer a call

Who uses it

Different institutions, different pressure points.

Schools

Fee cycles, transport and closure notices, and parent updates that must reach every family, including those on basic phones.

Colleges & universities

Admissions season at volume, hostel and examination notices, and results for students spread across cities.

Coaching & test-prep

Batch timings, mock-test schedules and score alerts, plus fast enquiry follow-up whenever a new batch opens.

Ed-tech platforms

Sign-up codes through OTP authentication, live-class reminders, course-completion nudges and plan renewals.

Children's data

Message the parent, not the child.

India's Digital Personal Data Protection Act, 2023 treats anyone under 18 as a child. Its children's-data duties, which take effect in phases under the DPDP Rules, 2025, require a parent's verifiable consent to process a child's personal data and rule out targeted advertising directed at children.

Consent at admission

Collect the parent's number, and their permission for each channel you plan to use, on the admission form itself.

Keep students to service

Class, exam and result notices can go to students. Promotion for the next course belongs with parents and adult learners.

Keep the record

Delivery reports for every message and every number show what was sent to whom, and when.

Questions

Questions schools ask about WhatsApp and SMS.

Yes, for service messages: fee reminders, timetable changes, exam and result notices reach DND-registered numbers at any hour when sent on a DLT-registered transactional route.

Admissions campaigns are promotional. Sent as promotional SMS, they go to non-DND numbers only, and by default only between 10 AM and 9 PM. That window comes from TRAI's TCCCPR 2018 (PDF, 5.7 MB), which keeps the 9 PM to 10 AM time bands switched off for every recipient unless that person turns them on.

Schools send fee reminder SMS from a DLT-registered header and template, triggered by the ERP or fee system through the REST API or by uploading a list, with the amount, due date and a payment link whitelisted on DLT in each message.

A fee reminder is a service message, so it reaches DND-registered numbers at any hour; if you also use WhatsApp, send it there first with SMS as the backup.

Use WhatsApp for anything with a document or a reply, such as fee links, admit cards and meeting confirmations, and SMS for urgent notices that have to reach every phone.

Many institutions run both, with SMS sent automatically when a WhatsApp message cannot be delivered.

Ed-tech platforms use RCS to send course carousels with an Enrol button, class reminders with a Join button and fee reminders, all inside the Android messaging inbox.

The formats are covered in detail on RCS for ed-tech.

Yes. The WhatsApp Business API puts one institutional number into a shared inbox, so admissions, accounts and class teachers can all answer, with each conversation assigned and tracked.

Teachers never have to share a personal number, and the thread stays with the institution when staff change.

Yes. Your ERP, LMS or admissions system calls the REST API to trigger a message when a fee falls due, attendance is marked or results are published.

On the CRM side, Salesforce, HubSpot, Zoho and Freshdesk connect directly, and CleverTap and MoEngage are supported too. Endpoints are listed in the API documentation.

Service messages about their own classes, exams and results, yes, with a parent's consent on record; promotional messages, no.

The Digital Personal Data Protection Act, 2023 requires verifiable parental consent to process a child's data and rules out targeted advertising directed at children, once those duties take effect under the DPDP Rules, 2025. Confirm the details for your institution with your counsel.
